This article explains the functions available to users with the Customer Authority 'Submitter' role in Parts.cat.com (PCC).
Functions of a Submitter
- Placing an order
- Searching for orders
- Reordering pending, rejected, approved or deleted orders
1. Placing an order
Submitters can add parts to their shopping cart and go through the order checkout process.
Ordering within your order limit:
If the order is within the Submitter's ordering limit, it will be sent directly to WesTrac for processing.
Ordering above your order limit:
If the order is above the Submitter's ordering limit, it will require approval from the Customer Authority Approver or Manager roles and will not be sent to WesTrac until approval is received.
Once submitted:
- the order will be created in PCC and set to Pending Approval status. It will remain in this status until approved by an Approver or Manager.
- The submitter will receive the following message: Your order exceeds the allowable price limit. The order must be approved by an administrator before it can be processed.
- A reference number will appear on the Order Confirmation page - this is the eCommerce number, and at this stage, it has not been sent to WesTrac.
Email notifications
- The Submitter will receive an email notification, confirming that the order is awaiting approval; and
- The Approver will receive an email notification stating that an order has been submitted for approval.
If the order is approved:
The Submitter will receive an Order Confirmation email containing the:
- Approver's name
- Order reference ID
If the order is deleted or rejected:
The Submitter will receive an Order deletion or Order rejected email containing the Approver's name.
2. Searching for an order
Submitters can search for any order using the Order History page. Each order will display the Approver's name.
- To search for an order, select ORDER HISTORY under ORDERS & QUOTES on the left navigation tab.
3. Reordering pending, rejected, approved or deleted orders
Submitters can re-order pending, rejected, deleted and approved orders.
- To search for an order, select ORDER HISTORY under ORDERS & QUOTES on the left navigation tab
- Locate the order you wish to reorder and click REORDER.
- Make changes to the order as needed before clicking submit.
