How do I search for an invoice?
The FitFleet Customer Portal displays invoices issued within the last two years from the Invoice Issued Date. If you require access to older invoices, please submit a help form for assistance.
To find a particular invoice/s you can search by using the Search bar or Filters provided
- Navigate to the Finance Dashboard on the left-hand navigation menu.
- Once on this page, you will see a tile named Invoice List which contains a running history of the following invoice types associated with your organisation:
PI – Parts Invoice
PC – Parts Credit
SI – Service Invoice
SC – Service Credit
MC – Maintenance Charge
Under the first tab, Subtotals, you will see the dollar amounts of your invoices broken up by Total Issued, Total Overdue, and Total Outstanding. The second and third tabs display your Outstanding and Paid invoices.
- Either type detail about your invoice in the search bar and press enter, or, for a more accurate search, select the filter button on the right of the search bar.
You can use as many of the available filters as you like. These filters include:
- From Date (search for invoices issued from this date)
- To Date (search for invoices issued up to and including this date)
- Serial Number
- Work Order Number
- Invoice Number
- PO Number
- Document Number
If you make a mistake, you can clear these search filters at any time. You can also export the results of your invoice search to a CSV file for your records.
How do I view or download an invoice?
- Select the invoice you would like to view under the Outstanding or Paid tabs.
- Selecting Download Invoice will download the original invoice directly to your computer. Alternatively, you can view the invoice on a pop-up window by selecting View Invoice.
- You can also export a list containing invoices in a CSV format by selecting the Export CSV button.
Can I 'Promise to Pay' an invoice?
Navigate to the Finance Dashboard by selecting the Finance tab () on the left-hand navigation menu. On the Invoice List tile select the individual invoice. This will drop down a list of actions, and from this select Promise To Pay.
By clicking this button you will be directed to a pre-populated form. Once submitted, the form will be sent to a WesTrac Staff Representative
How do I dispute an invoice?
- Navigate to the Finance Dashboard by selecting the Finance tab () on the left-hand navigation menu.
- On the Invoice List tile select the individual invoice. This will drop down a list of actions,
- From the list of actions, select Dispute Invoice.
By clicking this button you will be directed to a pre-populated form. Once submitted, the form will be sent to a WesTrac team member.
How do I view my monthly statements and invoice history?
Under the Invoice History tile, you can view the invoice overview amount over different time frames (financial year/quarter/month), displayed as bar graphs. You can drill down to view the next sub-level overview by clicking on the bar graph.
How do I view my credit limit or request additional credit?
Under the Credit Limit tile, you can view your credit limit, as well as accrued and available limit. Selecting the Request Additional Credit button will take you to WesTrac’s credit application form. You can apply for new or additional credit.
